Step 4: Acknowledge Applications

As resumes and curriculum vitae are received, the Search Chair should:
- Send a letter to each applicant acknowledging the application (with each letter containing the same wording);
- Send UT’s Equal Employment Opportunity Self-Identification form and prepaid return envelope along with the acknowledgement letter. It is mandatory that a form be sent to each applicant, and its return should be encouraged; however, failure to return the form cannot be used as a reason to reject an applicant;
Note: A copy of the EEO Self-ID form will be provided to the Search Committee by OED with the search file number noted on the form. Additional copies should be made by the Department. OED will also provide prepaid envelopes for the return of the forms to the OED office. OED will then compile the information received from the applicants, and provide the information to the Search Committee Chair in order for the Committee to consider whether the applicant pool adequately reflects the Committee’s efforts to recruit. Information from this data will be required for the Narrative Summary form.
